Humans of San Quentin: Assistant to the Executive Director

Humans of San Quentin is currently seeking a qualified candidate for an executive assistant role. This is a new position and is ideal for someone who is keen in working in a start-up environment and has patience and ability to manage multiple tasks.

Salary

$24-$28/hour


The candidate will oversee a range of duties that include but are not limited to:

  • Communication: Handling emails - drafting responses, phone calls, and other forms of communication, speaking with people incarcerated on the phone to help share them with a larger audience
  • In office: Assist with editing submissions from people incarcerated, track correspondence with people inside, compose memos, transcribes notes, mail and construct introductory packets for people in and out of prison, update introductory packets, keeps stories current to send to potential writers in google sheets, compile correspondence and reports for the Board of Directors, work closely with people formerly incarcerated
  • Calendar Management: Scheduling meetings and appointments
  • Travel Arrangements: Contact with other prisons in the US and abroad, filling in paperwork for video and interview, making travel arrangements.
  • Speaking Engagement Support: Manage and respond to speaking opportunities, coordinating logistics, assist in presentation material and communication, identify relevant speaking opportunities
  • Inside San Quentin Team Support: Preparing agendas, communicating and coordinating logistics for meetings and events inside San Quentin.
  • Project Coordination: Assisting with the coordination and management of special projects or initiatives led by the director.
  • Event Planning: Assisting with the planning and execution of fundraising events, donor meetings, and other nonprofit activities.
  • Interpersonal Skills: Serving as a liaison between the director and other staff members, interns, board members, donors, and external organizations.

Overall, the executive assistant plays a crucial role in supporting the director in their day-to-day activities and helping to ensure smooth operations of the nonprofit.

Skills

  • Requires writing experience, college credits
  • Knowledge in Google Suites, Slack, Asana, Canva and Airtable or willing to learn.
  • Manages systems to share writers' work.
  • Feels comfortable writing to people currently incarcerated, under the name of HoSQ
  • Excellent communication skills

Work Requirements

  • 20 hours per week - prefer 4 days a week M,T,W & F, flexible daily hours
  • In-person 2165 Francisco Blvd East Suite E, San Rafael, California
  • Lives in the SF Bay Area, California
  • This is a non-exempt, part time job that does not include health benefits.
