Salt Lake Community College: Specialist 2, Prison Education Program

The Specialist will oversee and maintain accurate records, including the PEP budget, while ensuring that the program follows policy and procedures. They must provide diplomatic communications with a variety of persons and departments, including the Utah Department of Corrections. This position handles a high volume of work using digital and paper files, data entry, e-mail, and phone calls. The Specialist is extremely detail-oriented and accurate, and able to problem solve, make knowledgeable decisions, and multi-task frequently.

The Specialist is also responsible for enforcing Federal, State and College academic regulations and policies such as FERPA, Title XI, ADAAA and Section 504, Veteran and Internal compliance.

Essential Responsibilities and Duties

  • Assists the Director and Coordinator with the development and administration of the Prison Education Program, including budgeting, purchasing, calendaring, answering phones, marketing, making travel arrangements, processing mileage reimbursements, and updating the program webpages.
  • Oversee and maintain accurate information regarding the Prison Education budget. Provide customer service for front line and phone reception regarding the Prison Education Program. Work directly with a variety of Academic and Student Affairs Departments with professionalism and diplomacy.
  • Administers admissions and registration records for students, assists the Director and Coordinator with adds/drops to and from SLCC courses held in the Utah State Correctional Facility, and ensures that course rosters are correct each semester. This will require effective communication with the Utah Department of Corrections, faculty, students, the SLCC registrar, as well as Prison Education Program administrative staff. Determine and ensure accuracy of student information and academic history.
  • Checking in and checking out prison laptops and textbooks, ensuring that materials on loan to students in the Utah State Correctional Facility are returned and properly inventoried. Provide technical expertise and set up software and student information systems to accommodate the needs of incarcerated students.
  • Other duties as assigned.

Minimum Qualifications

  • Associate’s Degree (60 credit hours completed)
  • Two (2) to four (4) years of direct full-time experience with transferrable skills.
  • Trade off 2:1 in experience / education requirement.
  • Part-time related work experience may be substituted for full-time work experience on a prorated basis.

Preferred Qualifications

  • Bachelor’s Degree
  • Experience with Python, SQL, and Database management (on job training can be provided).
  • Knowledge of Banner

  • Ability to work on occasion inside the state prison; and remain comfortable in a lockdown facility.
  • Excellent written and oral communications skills.
  • Ability to effectively organize and manage multiple complex projects concurrently utilizing critical thinking and analytical skills and reasoned decision-making.
  • Ability to demonstrate effective and efficient work completion strategies including process and organizational management.
  • Proficient in general office procedures (phones, customer service, maintaining databases, ordering textbooks, files, etc.)
  • Knowledge of SLCC Policies and procedures.
  • Ability to work directly with a variety of Academic and Student Affairs Departments with professionalism and diplomacy.
  • Ability to oversee and maintain accurate information regarding the Prison Education budget.
  • Ability to provide technical expertise and set up software and student information systems to accommodate the needs of incarcerated students.
  • Knowledge and proficiency of computer and multiple software programs, including Word and Excel.
  • Ability to determine and ensure accuracy of student information and academic history.
  • Ability to provide customer service for front line and phone reception regarding the Prison Education Program.
  • Ability to be detail oriented and a self-learner.
